Presenter Guidelines

All Presenters

  1. All presenters must be registered for the conference. Registration is available online and single-day registration is an option.
  2. If you wish to stay at the conference hotel (which we recommend), reservations should be made by March 21. More information and the link to book your room can be found here

Oral Presentation Guidelines

  1. Each presenter will have 20 minutes with 15 minutes for presenting and the remaining time (up to 5 minutes) for questions. We will be strict with our time and will move on to the next presenter when the 20 minutes are up.
  2. Please bring your PowerPoint presentation on a thumb drive and load it onto the laptop in your assigned room no later than 15 minutes before your session. There will be a folder for each session on the desktop of the laptop. Please make sure your last name is in your file name.
  3. We will be providing PDFs of all presentations as part of the proceedings. If you do not want your presentation made public or want to provide a modified version, please include ‘DO NOT DISTRIBUTE’ in your file name as well.
  4. There are two rooms, Ballroom A and Ballroom BC. Please make sure you know which room you’re presenting in (check the final schedule in the program; available soon) and that you have uploaded your presentation to the correct laptop.
  5. Both rooms will have a large screen projecting your PowerPoint as well as a mic and speakers. If your presentation includes a video or sound of some sort, please do a test run well before your session so we can troubleshoot issues if they arise.

Poster Presentation Guidelines

The poster session will take place on Wednesday, April 16 from 4:30pm – 5:30pm in the Pre-Function Space.

  1. Plan to arrive at the poster session at least 15 minutes early to set up your poster. Display materials for your poster (clips and/or tacks, etc.) will be provided.
  2. Posters should be no larger than 40″ x 60″. If your poster is already printed larger than this, please contact us to make arrangements.
  3. Each poster will be assigned a spot which will be provided when you arrive and noted on the easel. This will allow us to place similarly themed posters together.
  4. Pending space, some posters may be allowed to stay up throughout the duration of the conference. Unless you are specifically told you can keep your poster up, please take it down at the end of the poster session.
  5. Please provide a PDF of your poster following the conference. Email to CPOP@cascadiaprairieoak.org no later than April 30 with both the subject line and file name “2025 CPOP POSTER PDF – [last name].” All posters will be made available on the CPOP website unless requested otherwise.
